AI Strategy Consulting for Growing Businesses: A Practical Guide

We help founder-led businesses identify exactly where AI will save time and generate revenue, then build the systems to prove it within 30 days.

AI strategy consulting is a structured engagement that maps your business operations to specific AI applications, prioritises them by ROI and readiness, and produces a phased implementation roadmap your team can execute. Unlike generic advisory, it ends with working pilots, not a PDF.

Who this is for

This is right for you if...

You are running a $2M–$20M business and AI feels overwhelming

Every week a new tool promises to transform your operations. You have signed up for three, used none of them consistently, and your team is confused. You need someone to cut through the noise and tell you exactly what to do first.

You have tried to implement AI and it stalled after week two

You bought a ChatGPT Teams licence. Your team used it for a month, then stopped. The problem was not the tool. It was that nobody mapped it to a specific workflow, measured an outcome, or made one person responsible for it.

You are preparing for growth and want AI built into the foundation

You are about to hire your fifth sales rep or your third ops manager. Before you do, you want to know which parts of that role can be handled by an AI system so the human focuses on judgement calls, not admin.

You need a board-ready AI roadmap, not a 47-page generic report

Your investors or board are asking about your AI strategy. You need a document that names specific use cases, assigns owners, sets timelines, and ties each initiative to a revenue or cost outcome. Not a framework slide.

This is NOT for you if...

Businesses with under $500K revenue

The ROI on a structured AI strategy engagement only makes sense once you have consistent revenue to protect and processes worth automating. Below this threshold, a one-hour diagnostic call is the right starting point.

Teams looking for a one-size-fits-all AI tool recommendation

We do not run tool demos or act as resellers. Our output is a custom roadmap tied to your specific processes. If you want a generic "top 10 AI tools for business" list, that is a Google search, not a consulting engagement.

Organisations that need to move in under two weeks

A proper AI strategy engagement requires two to four weeks of diagnosis, analysis, and stakeholder input. If you need something live in seven days, the implementation page is the right starting point.

The real problems

Why most AI strategies fail before they start

How to implement AI in a $5M business

A $5M business does not need an enterprise AI transformation programme. It needs three to five high-value workflows automated with tools that cost under $300 a month and deliver measurable results in the first 30 days. The mistake most businesses make is starting with a tool instead of a problem. You pick ChatGPT because it is popular. Then you try to find a use for it. That is backwards.

The right approach is to list every task that gets done more than once a week, takes more than 15 minutes, and follows a consistent pattern. Those are your automation candidates. Then you find the tool that fits the task, not the other way around. At this revenue level, the highest-ROI targets are almost always proposal generation, client reporting, lead qualification, and internal status updates.

AI workflows for operations teams

Operations teams are the highest-value target for AI in a growing business. They own the processes that touch every department: hiring, onboarding, reporting, compliance, vendor management, and project tracking. When you automate one operations workflow, the time savings compound across every team that relies on it.

The most successful AI workflow implementations in ops start with a single data-heavy task. Think weekly reporting that takes someone four hours to compile from three systems. Or the onboarding checklist that gets emailed to new contractors and then manually chased. One person, one workflow, one measurable outcome. Scale from there once you have proof.

How to audit your business for AI readiness

An AI readiness audit looks at four things: your data, your processes, your team, and your tools. Most businesses fail the data check first. AI systems need clean, consistent, accessible data to work reliably. If your customer records live in three spreadsheets and a CRM that nobody updates, that needs to be fixed before any AI layer makes sense on top of it.

Process readiness means your workflows are documented well enough that a new hire could follow them. If a process lives entirely in one person's head, you cannot automate it yet. Team readiness means at least one person is willing to own the outcome and adapt their behaviour. Tool readiness means you are not adding AI on top of already-broken software. Our diagnostic session works through all four dimensions in 30 minutes.

AI vs automation: what is the difference for business owners?

Automation handles tasks with fixed rules: if this happens, do that. It is fast, consistent, and cheap. A Zapier workflow that moves a completed form into your CRM is automation. It does not learn. It does not adapt. It just runs.

AI handles tasks that require judgement. Summarising a 40-page RFP. Drafting a proposal that matches your tone and the client context. Flagging which leads are worth calling this week based on behaviour signals. For most growing businesses, the right answer is both: automation for the rule-based repetitive work, AI for the tasks that used to require a person to think. The strategy engagement maps which is which for your specific operations.

Our methodology

The Pressense AI Strategy framework

Diagnose, Strategise, Build, Scale. Every engagement follows the same four phases. The output of each phase is a concrete deliverable, not a status update.

01

Diagnose

Week 1

What is actually worth automating?

We run a 30-minute structured diagnostic with you and up to two key team members. We map every task that is high-volume, rule-based, and currently done by a human. We score each one against three criteria: time saved per week, ease of implementation, and revenue or cost impact. The output is a prioritised list of the top five AI opportunities in your business, ranked by ROI.

We also run the four-dimension readiness check: data quality, process documentation, team buy-in, and tool compatibility. If any of these flags red, we tell you what needs to be fixed first. A bad AI implementation wastes more time than it saves. We would rather tell you the hard truth in week one than discover it in week six.

Strategise

Week 2

Build the roadmap, not the slides.

We turn the opportunity map into a phased implementation roadmap. Phase one covers the two to three highest-ROI wins your team can execute in 30 days without external dependencies. Phase two covers the two to three next-level initiatives that need either a data cleanup or a small custom build first. Phase three is the six-to-twelve month horizon.

Every item in the roadmap has a named owner, a success metric, a tool recommendation with cost, and an estimated hours-saved figure. This is the document you take to your board or your ops team. It is not a strategy framework. It is a task list with context.

Deliverable: Implementation Roadmap
03

Build

Weeks 3–4

Pilots that prove the strategy works.

We do not hand you a roadmap and leave. We build the first two pilots ourselves: typically an AI workflow using your existing tools (Make, Zapier, Claude, or a custom Replit app) and an AI-assisted document or report template. Both run in parallel with your existing process for the first two weeks so you can validate the output before switching over.

Pilots are scoped to be completable in five to ten hours of build time. They are not production systems. They are proof points. If a pilot works, it goes into the Scale phase. If it does not, we adjust the strategy and try the next item on the list. The roadmap is a living document, not a fixed contract.

Deliverable: Two working pilots
04

Scale

Month 2 onward

Expand what works. Cut what does not.

Once the pilots show measurable results, we either hand off to your team with documentation and training, or we move into a monthly retainer to continue building and optimising. The retainer covers two to three new AI builds per month, plus ongoing optimisation of the systems already running.

Most clients see the pilot results within the first 30 days and make the retainer decision based on hard data, not a sales pitch. The average retainer client saves 15 to 25 hours per week across their operations team within three months. That is the equivalent of one part-time hire.

Deliverable: Monthly retainer or handoff
What you get

How much does AI strategy consulting cost?

Enterprise AI strategy firms charge $25,000 to $250,000 for engagements that end in a presentation deck. Our engagements end with working systems your team uses on day one of week five. Every tier below includes implementation, not just advice. Pricing is fixed-scope so there are no budget surprises. Larger or multi-site engagements? Let's scope it together.
